Follow-ups

What is a Follow-up?

During an inspection, an Evaluator will review the location to see if all items meet the standard. When an item fails or requires work to be done, a follow-up can be created.

Note: Follow-ups are optional and each response option i.e. Fail, must be assigned the response action "Create Follow-up" if you wish to use this feature.

A follow-up creates a task with:

  1. Status = Open
  2. Assigned to an Operator
  3. Assigned a Due Date
  4. Adds this follow-up to the "Open Follow-ups" Dashboard Widget
  5. Can be set up to send an email notification to the Operator and Manager assigned

Follow-ups can be corrected on the spot.  In this case, the "Close Now" option is selected during the inspection, this denotes the deficiency for frequency and scoring results but eliminates the need for the open follow-up widget and email notifications as the work is completed.  

Note: it is important that if something fails that it is noted as such even if it is corrected on the spot so that the reporting accurately reflects the results found upon inspection.  The follow-up report will show that the correction was made on time.

If the follow-up is not corrected before the due date, the follow-up becomes overdue.

When the follow-up is corrected, you must change the follow-up status, to indicate that the follow-up has been Closed.

Summary

During inspections, when an item fails, you can set up the system to create a follow-up. When the follow-up is created, it must be assigned to an operator and closed out before the due date. To close out the follow-up you must change the follow-up status from open to closed. If the follow-up is not set to close by the due date, then it becomes overdue.
